How AI governance works in The GAiGE

It starts with AI governance: six steps to get your AI house in order and keep it that way. Our AI governance software does the legwork, and you stay in control. When you're ready, with Pro you can see what each tool is worth, plan what's next and support the people who help others use AI.

Getting your AI house in order, in six steps

Each step shows what's done for you, marked Automated, and where you make the call, marked Your decision.

The screens on this page are from our demo organisation.

Step 1 of 6: Understand: find out which AI tools people use

Everyone is asked about the AI they use and what for, in a survey that takes under 10 minutes called The AI State of Play. Every tool people report goes onto your AI tools register, ready for a decision.

The AI tools register: tools people reported, each with its decision (Approved, Approved with limits, Decision pending or Not approved)
The AI tools register
What's in this step, Understand
  • The AI State of Play

    Your decisionAutomated

You choose when it goes out, and reminders go automatically to anyone who hasn't answered.

  • Your AI tools register

    Automated

When The AI State of Play closes, each tool is listed with the vendor facts we have for it. You confirm each one, and add its owner and renewal date.

  • Risks and opportunities

    Automated

The answers raise both: where information could be exposed, and where people see AI helping, in their own work and across the organisation.

Step 2 of 6: Leadership direction: your leaders agree how to approach AI

Leaders rarely start in the same place. Before anything is decided, each sets out where they stand, and together you agree one direction, in the Leadership Position tool. It can run alongside The AI State of Play, and if the results are in, leaders can see them.

The agreed leadership position: risk appetite cautious and pace steady, with a review date six months on
The agreed leadership position
What's in this step, Leadership direction
  • Private positions

    Your decision

Each leader sets out where they stand on seven decisions, from risk appetite and pace to investment and time to learn.

  • See where you agree

    Automated

Positions are revealed together, showing what's agreed, what's close and where you're split, with an industry briefing for context.

  • One agreed direction

    Your decision

Talk through the differences, and the leader you choose as Final Decision Maker decides anything still split. The agreed position is saved as a PDF, with a review date six months on.

Step 3 of 6: Decisions: choose which AI tools are in, and how each can be used

Record a decision on each tool, with the reason for it, and approve the policies we draft from your decisions.

Our AI policies at a glance
What's in this step, Decisions
  • In or out

    Your decision

Work through your register tool by tool, check the settings we flag, and record why each call was made.

  • A recommended answer

    Automated

Tool decisions and proposed policies come with a recommended answer and the reason for it, based on your leadership direction, the vendor's terms and common practice. You accept each one, change it or set it aside.

  • Policies drafted for you

    AutomatedYour decision

We draft your policies from your leadership direction, The AI State of Play and your decisions, each with a reason your people can read. You edit, approve and publish, and nothing reaches your people until you do.

Step 4 of 6: Communicate: share your policies where people use AI

A policy only works if people can find it, read it and follow it.

What's in this step, Communicate
  • A message drafted for you

    AutomatedYour decision

Tell everyone what was decided, in a message we draft from your records for you to edit and send.

  • Policies for each person

    Automated

Everyone has their own page with the policies that apply to them: their AI Adoption Portal.

  • Right where they use AI

    Automated

The first time someone opens a tool you've decided on, the browser extension shows your decision on that tool's website. It checks each page's address on the person's device, and the address never leaves their device. A chatbot in the extension and the AI Adoption Portal answers questions from your published policies.

Step 5 of 6: Engagement: hear from your people and support them

See who's on board, answer what people ask and request, and support the people who need it.

The Policies and questions report: 86 of 114 people have confirmed they've read the policies, with a Send a reminder button
The Policies and questions report
What's in this step, Engagement
  • Who has read the policies

    AutomatedYour decision

See who has confirmed they've read your policies, and send the rest a reminder in one go.

  • Requests and questions

    Your decision

People can ask for a tool, report something that went wrong, or flag something they've found. Requests come to you with our recommended answer, and questions the chatbot couldn't answer show you where a policy has a gap.

  • Three core pulses

    Automated

Regular pulses show how people use each AI tool, whether it's worth keeping and where they'd like support, on a schedule you set: The AI Pulse, The AI Review and The AI Capability Check. General Feedback is open any time.

  • Governance and pulse reports

    Automated

Governance reports show how many people have read the policies, what they ask and what they request. Pulse reports can be filtered by tool, group and period, and each figure from an anonymous pulse needs five answers or more.

Step 6 of 6: Review: keep your decisions and policies up to date

AI changes fast, so reviews are built in: you choose monthly or quarterly, and open each review when it's due.

A review's agenda: two decisions due for review, one with a comment asking to look at the pace again
A review's agenda
What's in this step, Review
  • An agenda put together for you

    Automated

Open risks and opportunities, renewals coming up and decisions due for review, gathered in one place.

  • Decide, and it's recorded

    Your decision

Update any decision in the decisions log, and close the review with a summary of what you agreed. A policy change reaches your people when you publish the next version.

  • Everyone kept up to date

    Automated

When you publish a new version, each person's AI Adoption Portal shows what changed, and the report you share with clients, the How We Use AI Report, reflects it the next time you download it.

Questions people ask

Where do we start?

With The AI State of Play. The Leadership Position tool can run alongside it, so how quickly you move is up to you.

Do people need to install the browser extension?

We highly recommend it, because it puts your policies where people use AI. Policies and pulses are also available in the AI Adoption Portal.

Is this monitoring my staff?

No. The GAiGE records what people choose to tell it (pulse answers, questions and requests), who has confirmed they've read your policies, who has answered The AI State of Play, and who has the browser extension. The extension checks each page's address on the person's device; the address never leaves their device.

Can we try Pro before we decide?

Yes. Every trial starts on Pro, so you can try everything before you choose a plan.

Are pulse answers anonymous?

Each pulse is anonymous or identifiable, and you set which before it runs. We tell your people: "When a pulse is anonymous, your name isn't shown with your answers to anyone, admins included." In a small group, or from something written in a comment, someone may still be able to work out whose answer it is. Identifiable pulses say so before anyone starts, and show each person's name with their answers.
