Running a review

Availability: every plan, and every trial.

AI tools and the way people use them change fast, so the decisions about them need looking at again. A review in The GAiGE runs over several days instead of in one meeting: you open it for a few days, the people you ask read the agenda from wherever they are, add what they know and say where they stand, and you close it with a summary of what was decided.

Reviews is in the main menu. Owners and Admins open and close reviews; anyone you ask to take part can read the review and comment while it's open.

Setting the cadenceLink to this section

At the top of Reviews, choose the Review cadence: Monthly or Quarterly. Monthly suits the first few months; most organisations settle to quarterly. While no review is open, the page says when the next one is due ("Next review from …").

Opening a reviewLink to this section

  1. Choose Open a review.
  2. Under Participants, tick who should take part: Senior Leaders, Group Leaders, champions and anyone else who should have a say. Champions are marked.
  3. Set Open for, from 1 to 14 days (5 unless you change it).
  4. Choose Open the review.

Everyone you ticked gets an email inviting them to take part. Because it goes out in your organisation's name, your own email address needs to be confirmed first; see Why do I need to confirm my email before inviting people?.

What's on the agendaLink to this section

The agenda is put together from what the organisation has on record when the review opens, and it doesn't change while the review runs:

  • Our recommendations: what we recommend deciding, from the figures since the last review (Owners and Admins only)
  • Why we are doing this: the organisation's purpose
  • Findings: anything waiting on a decision, including findings added from the Dashboard with Add to the next Review
  • Decisions due: decisions past their review date, the leadership team's agreed position among them when it's due
  • Renewals: tool renewals coming up
  • The AI State of Play: the last one's results
  • Initiatives: work on the roadmap that is rolling out (Pro)
  • What happened: what has happened since the last review

Each item links to where it lives today, for anyone who can open it.

Our recommendationsLink to this section

The agenda opens with Our recommendations, which only Owners and Admins see. When the review opens, we look at the figures since the last review and recommend what to decide, each with the figures behind it and one button to act on it:

  • Decide whether people can use a tool, when three or more people have asked to use the same one and at least one ask is still waiting.
  • Decide whether to renew a tool, when it renews in the next 90 days and at least 40% of The AI Review's answers about it say people wouldn't be disappointed to lose it.
  • Add learning for a tool, when at least 40% of The AI Capability Check's answers about it ask for a demo, examples or tips.
  • Add a policy for the questions with no answer, when three or more Unanswered questions are waiting (on plans with Ask).
  • Agree what saved time should be used for, when fewer than half the people answering The Time Back Pulse know what it's for (Pro).
  • Send a check-in, when five or more people haven't answered a pulse in the three months before the review opened, and five or more people have.

Every figure from answers comes from at least five people who aren't Owners or Admins, and is the figure Reports shows for the same days: whole days, up to the day before the review opened. The recommendations are worked out by rules, never by AI, and stored when the review opens, so they stay as they were when you discussed them.

On Pro, Comments grouped by topic puts the comments in Requests and feedback into groups, using AI. Each group opens with one of its comments, as it was written. The names of people in your organisation, email addresses and phone numbers are taken out before anything is sent to our AI provider, and nothing it sends back is kept.

The check-inLink to this section

Send the check-in emails one question from us, "Is something getting in the way?", to the people who haven't answered a pulse in three months. You can send it while the review is open, and it goes at 9am on your organisation's next working day. It never goes to Owners or Admins, or to anyone who has turned reminder emails off, had a check-in in the last six months, or answered anything since the review opened, right up to the morning it goes. If the review has closed by that morning, or fewer than five people can be sent it, it isn't sent. Where people install the browser extension themselves and your rollout has started, everyone without it is reminded to install it the same day.

The dialog shows the count worked out when the review opened, and whether the check-in can go now. You'll see how many people it went to and, once replies close after 14 days, how many chose each reason, if at least five people replied. After six months the email and each person's copy of it are deleted; the counts stay with the review. You won't see who it went to, who replied, or any one person's reply: people choose from a fixed list, and replies are counted, never linked to anyone. Your people are told about the check-in in their help and in their AI Adoption Portal.

Taking partLink to this section

On each item, a participant writes a line under Your view and chooses where they stand: Agree, Concerned or Discuss. Anything else at the end takes a line on the review as a whole. Comments are taken while the review is open, plus a day for anyone who reads the email late.

Closing itLink to this section

When the window has run, open the review, write the Summary (what was decided, in a few sentences) and choose Close the review. The review then shows who facilitated it, when it opened and closed, who took part, the summary, and anything Decided in this review.

Past reviews stay listed under Past reviews, with their comments.

After the reviewLink to this section

Record what was decided where it belongs: a tool's decision on its page (Recording a decision on an AI tool), a policy under Governance → Policies (Publishing your AI policies), or an initiative on the roadmap. Once the first review has closed, the Dashboard's Next 90 days shows when the next one is due, under Next review.
