Availability: Standard, Pro and Enterprise, and every trial.

When a client, a supplier or your board asks how your organisation uses AI, the How We Use AI Report is the record you hand over: a dated PDF of the policies and tool decisions your staff see, the automated decisions statement where you have one, and how your governance runs.

Downloading itLink to this section

Go to Governance → How We Use AI Report and choose Download the report. The page shows what the report will include:

  • Tools: how many decided tools it lists
  • Policies: how many published policies it lists
  • Automated decisions statement, where it applies: Confirmed with its date, Not confirmed, or the date it was checked and found no decisions

Every figure is worked out when you download it, so the report is always as up to date as your records.

What's in itLink to this section

  • Our AI policies, as your staff read them: the full document staff can download (Publishing your AI policies), with the decided tools and what staff are told about each (Recording a decision on an AI tool).
  • The automated decisions statement, once it's confirmed, or a recorded check that found none.
  • How your governance runs, as dates and counts: that the leadership team has agreed a position, when, and when it's reviewed; your review cadence and the last review (Running a review); when The AI State of Play last closed; how many people have read the policies; how many requests and suggestions arrived, and how many were answered in time.
  • Your contacts, as you publish them, such as the contact for problems.

What's left outLink to this section

The report includes only what your staff can already see, plus how governance runs, so nothing in it gives away how the organisation competes. It never includes:

  • the content of the leadership position, or anyone's name on it
  • strategic and operational decisions, and their reasoning
  • costs, prices, licences, seats and renewal dates
  • supplier terms, findings, and anything not yet decided or confirmed
  • internal notes, and the messages you've sent

The only names it can include are the organisation's own contacts.

Keeping it currentLink to this section

Your first copy comes at the end of Governance set-up, from Download the How We Use AI Report, once the policies are published and the team is briefed. After that, the Dashboard tells you when it's worth a fresh copy: a row in Needs you appears after 3 or more changes since your last download, or after 90 days, with Download the report. In Reports, the Governance set shows when it was last downloaded and how many changes there have been since.
