A short walkthrough of how subscriptions work at The GAiGE. If you have a question we haven't covered, tell us and we'll add it.
TrialsLink to this section
- Every new organisation starts on a free 30-day trial.
- No credit card needed.
- The trial starts on Pro, with everything in Pro included. If Standard looks like the better fit, an Owner can switch the trial to Standard, and back again, from Settings → Manage plan while it runs. Switching is free, and the trial's end date stays where it is. For Enterprise, talk to us.
- A trial includes up to 200 people. If you add more, choose Continue the trial, and the people over the limit are deactivated until you pay, or Upgrade now (Owners) to activate everyone once you've paid.
At day 30 the trial stops until an Owner chooses a plan. The GAiGE stops for everyone in your organisation: pulses no longer go out and the extension stops asking. Staff who sign in are told to ask an Owner at your organisation what happens next, and can still download their own data. An Owner who signs in can choose a plan straight away, and Owners and Admins can still download the organisation's data. We keep your organisation's data for 90 days after the trial stops, and a plan chosen in that time picks up where you left off. After that we delete it. We email Owners and Admins the deletion date, and again shortly before it. Copies of deleted data stay in our database backups: the daily backups for seven days, and the copy we take before each release until that copy is deleted.
Plans, bands and pricesLink to this section
We charge per organisation, by band, not per person. A band is a range of people: on Standard the bands are "up to 30", "up to 50", "up to 70", and so on up to 1,000. Inside a band the price is flat, so 11 people, 29 people and 30 people pay the same. Go past the top of a band and you move to the next one. An organisation with up to 10 people pays the start-up price instead: A$49 a month on Standard, or A$69 on Pro.
So adding a 31st person doesn't start a per-person charge; it moves you to the next band.
Above 1,000 people, each person over 1,000 is charged at a flat rate a person on top of the highest band. Organisations at that size usually do better with Enterprise, so talk to us.
Prices are shown ex GST in Australian dollars, US dollars, pounds or euros, and you pay in the currency you choose before checkout. Your subscription stays in that currency for every change after it, because Stripe can't change a subscription's currency. GST (10%) is added for organisations in Australia: Stripe's checkout adds it once you enter your billing address, and shows the total before you pay. Organisations outside Australia pay the price shown.
Monthly or yearlyLink to this section
You choose when you subscribe, and you can switch later in Manage plan.
- Monthly: you pay every month.
- Yearly: you pay once for the year and get 3 months free (25% off the equivalent monthly cost over 12 months). Best for organisations sure they want to keep using The GAiGE.
Manage plan shows both, so you can see what each costs at your size.
Onboarding sessionsLink to this section
You can add onboarding sessions when you subscribe: one of our team, or one of our partners, runs your rollout with you. It's A$1,500 ex GST (or US$1,050, £890 or €890), charged once with your first payment, and we email you to arrange the first session. A discount code comes off your plan, not onboarding sessions, unless we've given you a code for onboarding itself; the summary before checkout shows what you'll pay. Already subscribed, or want to talk first? Use Book a session in Manage plan and we'll arrange it with you.
Changing plan, and switching between monthly and yearlyLink to this section
When a change takes effect depends on what kind of change it is.
Moving up takes effect straight awayLink to this section
Moving up a plan (Standard to Pro), or to a bigger band, applies straight away.
- The new plan's features are there immediately.
- Stripe charges the prorated difference for the rest of the current billing period, so you pay only for the part of the period that's left.
- Your billing date doesn't change.
Moving down takes effect at the end of the periodLink to this section
Moving down a plan (Pro to Standard), or to a smaller band, is scheduled for the end of your current billing period.
- You keep your current plan's features for the rest of the period you've already paid for.
- The new, lower price starts at your next billing date.
- Your billing date doesn't change.
If you change your mind about a scheduled change before it starts, choose a different option in Manage plan. The most recent change wins.
Switching between monthly and yearly applies straight awayLink to this section
Switching between monthly and yearly billing applies straight away, either way: Stripe credits the unused part of what you've paid, charges the new period, and your billing date moves to that day.
Your number of peopleLink to this section
If adding people takes your organisation over its band, People warns you first. If it's still over at the end of the day, we move it up a band and charge the difference that night for the rest of the billing period, with no refunds. If you have fewer people by your next billing day, we move you down then.
To change it yourself, open Settings → Manage plan and move Number of people to your new size. The button on your plan reads Change to the new number, for example Change to 140 people. Moving up charges the difference today; moving down starts on your next billing day. See Changing your plan or seats for the walkthrough.
Promo codesLink to this section
If you have a promo code, enter it in Discount code, in the summary that opens when you choose a plan in Manage plan. We check it against the plan and the billing (monthly or yearly) you've chosen. The most common problem is a monthly-only code on yearly billing, or the other way round, and the message under the field says which.
Codes apply at checkout for new subscriptions, and at the next billing date for changes to an existing subscription.
Every code goes in that field, including one we give you directly.
CancellingLink to this section
You can cancel at any time from Settings → Manage plan → Cancel the subscription in the Stripe portal. The cancellation takes effect at the end of your current billing period, and you keep access to all features until then.
When your access ends, The GAiGE stops for everyone in your organisation, as it does when a trial ends, and we keep your organisation's data for 180 days. In that time Owners and Admins can sign in to download the data, and an Owner can choose a plan to pick up where you left off. After 180 days we delete it. We email you when your access ends, and again shortly before we delete the data. Copies of deleted data stay in our database backups: the daily backups for seven days, and the copy we take before each release until that copy is deleted.
Receipts and invoicesLink to this section
Every paid invoice appears in Settings → Billing history, where you can view it on the web or download the PDF. Each amount is the total we charged. For organisations in Australia, the GST column shows the GST in it, and the PDF breaks it out for your accountant.
To change the billing email or add a contact for billing, use Manage plan → Manage card and receipts, which opens the Stripe portal.
