Changing your plan or seats

A walkthrough of Manage plan in Settings: switching plans, changing how often you're billed, and changing the number of people you pay for.

Before you startLink to this section

  • You need to be an Owner of your organisation. Admins see the plans, and can't make billing changes.
  • For when each change takes effect, see How billing works. In short: moving up applies now, with the difference charged for the rest of the period; moving down applies at your next billing date, so you keep what you paid for; switching between monthly and yearly applies straight away.

Open Manage planLink to this section

Settings → Manage plan.

You'll see, top to bottom:

  1. Your current plan: what you're on, your next charge date, and Manage card and receipts, which opens the Stripe portal.
  2. Number of people (a slider, and a box to type an exact number), Monthly or Yearly, 25% off, and the Currency you pay in.
  3. Three plan cards: Standard, Pro and Enterprise, the same as on the pricing page. The Standard and Pro cards show what each would cost for the number of people and the billing you've chosen (prices ex GST; GST is added for organisations in Australia), and a button. The Enterprise card has Send us a message.
  4. The start-up price, special pricing for charities and not-for-profits, onboarding sessions, and every feature of each plan side by side.

To change planLink to this section

  1. Choose Monthly or Yearly, 25% off.
  2. Set Number of people to your size, with the slider or by typing the number in the box.
  3. The plan cards now show the price for that size and billing.
  4. Select the button on the plan you want. Its label says what will happen:
    • Subscribe to Standard (or Subscribe to Pro). This starts a paid subscription on that plan, through checkout. On a trial you'll see it on the plan your trial is on.
    • Switch trial to Standard (or Switch trial to Pro). On a trial, this moves the trial to the other plan, at no charge. Your trial end date stays where it is, and you can switch back while the trial runs.
    • Switch to Standard (or Switch to Pro). You have a subscription, and this changes which plan you're on.
    • Stay on plan. This is your current plan and nothing has changed.
  5. Moving up a plan: Stripe charges the prorated difference now, and the new features are there straight away.
  6. Moving down a plan: a message confirms the switch happens on your next billing date. You keep your current plan's features until then.

To change the number of peopleLink to this section

If adding people takes your organisation over its band, we move it up a band that night, and if you have fewer people by your next billing day, we move you down then. How billing works has the detail.

To change it yourself, move Number of people to your new size, or type the number in the box. The plan cards update as you go, and the button on your plan reads Change to the new number, for example Change to 140 people. Select it.

  • Moving up charges the difference today, for the rest of the billing period.
  • Moving down starts on your next billing day. You keep what you've paid for until then.
  • On a trial: Number of people only changes what each plan would cost on the cards. Nothing is charged until you subscribe.

You can't choose fewer people than you have. If you have 60 people, the 50-person band needs you to deactivate some first, and the slider says so.

To switch between monthly and yearlyLink to this section

Choose Monthly or Yearly, 25% off, and the cards re-price. On your current plan the button reads Switch to annual billing or Switch to monthly billing.

The switch applies straight away, either way: Stripe credits the unused part of what you've paid, charges the new period, and your billing date moves to that day.

To pay in another currencyLink to this section

Before you subscribe, choose AUD, USD, GBP or EUR under Currency. The plan cards re-price, and checkout charges in that currency. Once you've subscribed, every change is charged in the same currency, because Stripe can't change a subscription's currency.

To add onboarding sessionsLink to this section

Select Subscribe to Standard (or Subscribe to Pro), then tick Add onboarding sessions in the summary before you go to checkout. It's charged once, with your first payment. A discount code comes off the plan, not onboarding sessions, unless we've given you a code for onboarding itself. Already subscribed? Use Book a session beside onboarding sessions and we'll arrange it with you.

To use a promo codeLink to this section

Type or paste it into Discount code, in the summary that opens when you select a plan's button. Every code goes there, including one we give you directly. If your subscription already has a discount, it's filled in for you.

  • Codes are case-insensitive, so it doesn't matter how you type them.
  • The launch offer's codes, such as LAUNCH30, have ended.
  • A code for onboarding sessions only comes off onboarding, so tick Add onboarding sessions to use it.
  • The message under the field tells you if your code only applies to the other billing (monthly or yearly).
  • The discount appears on the plan cards as the full price struck through, the new price, and how much comes off and for how long.

If the code doesn't apply to a plan, the discount won't show on that card.

To cancelLink to this section

At the bottom of Manage plan, Cancel the subscription in the Stripe portal opens the Stripe portal in a new tab. Choose Cancel plan and confirm.

Cancellation takes effect at the end of your current billing period, and you keep access until then. After that The GAiGE stops for everyone in your organisation, and we keep your organisation's data for 180 days, then delete it. In that time Owners and Admins can sign in to download the data.

If you change your mind within those 180 days, an Owner can sign in and choose a plan, and your organisation picks up where it left off.

Common questionsLink to this section

Will my billing date change? Only when you switch between monthly and yearly. Other changes keep your billing date, with the difference charged or scheduled as above.

What if my move down was due but it hasn't happened? It applies when Stripe charges your next invoice, on your usual billing date. If a day has passed and nothing has changed, the quickest check is Settings → Billing history: the most recent invoice should be at the new, lower price.

Can I cancel a scheduled move down? Yes. Open Manage plan and choose a different option, such as your current plan. The most recent change you make wins.

Where do I see the receipt for a prorated charge? Settings → Billing history. Each invoice has a View link to Stripe's page and a PDF link for your records.
